10 ways to use AI in your work and life

The short answer

The most useful everyday ways to use AI are: clearing your inbox, turning meetings and voice notes into action points, writing first drafts, making sense of long documents, planning your week, learning a new skill, sorting household paperwork, answering common customer questions, building a weekly numbers report, and planning and writing content.

In every one of these, AI does the first version and you check it. Start with one that saves you time every week. When a use repeats every day or every week, you can turn it into an AI Employee that does that job for you the same way each time. Never hand AI anything that moves money, or legal or medical decisions, without a person and an expert checking.

Most people try AI once, ask it something random, get a decent answer, and never open it again. The problem is not the tool. It is that nobody showed them where it fits in a normal day. This list is the one I give friends. It is also the written version of my upcoming video on the same subject, "AI use karne ke 10 tareeke."

Each idea below works in any good AI assistant, like Claude, ChatGPT or Gemini. Where I mention a specific feature, I checked it on 23 October 2026.

How can I use AI at work?

1. Clear your inbox faster

Paste in a long email thread and ask: "Summarise this in five lines. What is being asked of me, and by when?" Then ask it to draft a reply in your tone.

You can go further. Claude has a Gmail connector, a switch that lets it see your mail. Claude's help page says it can search and read emails and draft replies, and that "by default, Claude asks for your approval before each of these actions." So you can say "find the emails from this week that are still waiting on me" and get a list, with drafts. The safest way to start is a setup that only reads and drafts. I explain that build in how to build an AI email assistant for Gmail that only reads.

2. Turn a meeting or voice note into next steps

After a call, paste the notes or the transcript and ask: "List every decision, every task, who owns it, and the deadline." A messy hour of talk becomes a clean list in under a minute. You can also record a voice note on the drive home, get the text, and ask AI to turn your thinking into a to-do list.

Check the names and dates. AI sometimes gives a task to the wrong person if the notes were unclear.

3. Write the first draft of anything

Reports, proposals, leave letters, job descriptions, a speech for a farewell. The trick is to give AI the facts and the purpose, not just the topic. "Write a one page proposal to a school principal for a weekend coding club. Budget Rs 40,000. Tone: polite, short, practical." gets a far better draft than "write a proposal."

Never send the first draft as it is. Read it, cut what is not true, add what only you know.

4. Make sense of a long document

An insurance policy, a rental agreement, a school circular, a long government form. Paste it in or upload it and ask: "Explain this in simple words. What do I have to do, what does it cost me, and what should I be careful about?"

This is a reading aid, not legal advice. For anything you are about to sign, AI can help you find the right questions to ask, but a qualified person should answer them.

5. Plan your week, your meals or a trip

Give it your real limits and it becomes a good planner. "I work 10 to 7, I want to go to the gym three mornings, my child has exams next week. Make me a simple weekly plan." Or: "Plan vegetarian dinners for six days, under 30 minutes each, using what is usually in an Indian kitchen, with one shopping list."

For trips, ask for a day-by-day plan with travel times. Then check timings and prices on the official sites, because AI can be out of date.

6. Learn a new skill with a patient tutor

This may be the most underrated use. Ask AI to teach you anything, step by step, and to quiz you. "Teach me how to read a balance sheet. Use one simple example. After each step, ask me a question and wait for my answer."

It never gets tired of your questions and never makes you feel slow. Use it alongside a real course or book, and double check any fact that matters.

7. Sort out household paperwork

Compare two mobile plans, two loan offers or two insurance quotes by pasting both and asking for a simple table: cost, what is included, what is not. Ask it to draft a complaint to your internet provider or housing society, polite but firm, with the dates and facts you give it.

Before you paste anything in, remove account numbers, passwords and anything you would not want a stranger to read.

8. Answer the questions customers ask every day

Write down the ten questions customers ask most, with your real answers, prices and timings. Give that to AI and ask it to draft replies to new messages using only that information. You read each reply and send it.

This saves hours, as long as the AI only uses your answers and does not make up a price or a promise. Keep refunds, complaints and anything about money in your own hands. I wrote a fuller list in AI Employees for small business owners: the jobs to hand over first.

9. Build a weekly numbers report

Export your sales, orders or leads into a sheet, give it to AI and ask: "What changed from last week? What went up, what went down, and what three things should I look at?" A pile of numbers becomes a one page update you can actually read on a Monday morning.

Always check the totals against the sheet. AI can misread a column, and a report is only useful if the numbers are right.

How can a content creator use AI?

10. Plan, script and reuse your content

I built Peepoye on YouTube to 12.8 lakh subscribers and 28.2 crore views, so this one is close to my heart. AI is useful at every stage except the one that matters most: having something real to say.

  • Ideas. Paste the questions your audience asks in comments and ask for ten video ideas that answer them.
  • Scripts. Speak your point into a voice note, then ask AI to shape it into a script with a strong first line. Keep your own words and examples.
  • Reuse. Turn one video transcript into a post, a short caption and a list of key points.

What AI cannot give you is your story and your view. If every creator asks the same question, every creator gets the same script. I go deeper in AI Employees for content creators.

Which of these can become an AI Employee?

Any of the ten that you do every day or every week. The difference is simple. Using AI is when you open it, type, and copy the answer. An AI Employee is when you write the job down once, connect the tools it needs, and it does that job the same way each time while a person checks it.

In my own company I run AI "rooms" this way. One prepares reports. One drafts outreach messages. One helps plan content. Each one is checked by a person before anything goes out. I do not write code, and I set these up in plain words.

If you want to understand the idea fully, start with What is an AI Employee, and how do you build one without coding? If you are not sure how this differs from chatting with AI, read AI agent or chatbot: what is the difference?

What should I never hand over to AI?

  • Money decisions. Paying, transferring, refunding or pricing. AI can prepare, a person decides.
  • Medical or legal decisions. AI can help you understand, but an expert must decide.
  • Passwords and private numbers. Never paste bank details, OTPs, Aadhaar or PAN numbers into any AI chat.
  • Hard conversations. An upset customer, a team member who is struggling, a family matter. These need a person.
  • Facts you have not checked. AI can be wrong in a confident voice. Check anything that matters before you act on it or share it.

What are the honest limits?

AI will not make you productive by itself. It makes the first version faster. You still have to decide what you want, give it clear facts, and read what comes back. Most bad AI results come from vague asks. The more specific you are about who it is for, what it is for, and what you already know, the better the answer.

Tools also change quickly. A feature I describe today may work differently in a few months, which is why every product fact on this page carries a date.

Questions people ask about this

What is the easiest way to start using AI every day?

Pick one task you already do every week, like summarising long emails or writing a weekly update, and do it with AI for seven days. Read every result. Once it saves you time, add a second task.

Which AI tool should a beginner use?

Any of the main assistants, Claude, ChatGPT or Gemini, can do all ten things on this list. I use Claude because its connectors for Gmail, Google Calendar and Google Drive let it work with my real email and files, with an approval step before it acts.

Is it safe to use AI for personal documents?

Remove account numbers, passwords, OTPs, Aadhaar and PAN numbers before pasting anything in. Use AI to understand a document, not to make a legal or financial decision. For anything you are about to sign, ask a qualified person.

Can AI help a small business without a big budget?

Yes. The useful jobs, like drafting replies to common customer questions and building a weekly numbers report, work on a single paid plan. As of October 2026, Claude Pro is USD 20 a month, and Indian users are billed in rupees.

Do I need to know coding to use AI like this?

No. Everything on this list is done by typing or speaking in plain words. I do not write code, and I use AI every day.

What is the difference between using AI and having an AI Employee?

Using AI is opening a chat, asking, and copying the answer yourself. An AI Employee is an AI set up to do one repeating job the same way every time, connected to the tools it needs, with a person checking its work.
