Checking messages eats a month of your year. Here is how AI gives it back

The short answer

If you spend around 2 hours a day on email, WhatsApp, Slack and DMs, that is 730 hours a year. Put end to end, it is about 30 full days: a month of your life, every year, spent checking messages. Most of them never needed you.

Try this tonight: connect your email to Claude or ChatGPT, ask it to read your unread messages, and ask one question: "Which ONE needs me today?" For a fix that lasts, build an AI Employee that checks every message for you and brings you only what matters. I built one. His name is Daakiya.

There is one thing we all do every day, whether we are students, creators, business owners or working a 9 to 5. We check messages. Again and again. And most of the time, the message did not need us at all. The fear of missing the one that matters makes us open every single one.

How much time do we really spend checking messages?

Do the sum for yourself. Around 2 hours a day across email, WhatsApp, Slack and social DMs is common. That is:

  • 2 hours a day
  • 14 hours a week
  • 730 hours a year, which is about 30 days of 24 hours each

This is not new. Back in 2012, the McKinsey Global Institute's report on the social economy found that office workers spent about 28% of their work week, around 13 hours, reading and answering email alone. That was before WhatsApp groups, Slack and Instagram DMs joined in.

The hours are only half the cost. Every check pulls you out of the work you were doing, and getting back into it takes longer than the check itself.

Why do we keep checking, even when we know most messages can wait?

Because one message in fifty really does matter. A client waiting. A payment. A meeting moved. A family member. We cannot tell which one it is without opening them all, so we open them all. The problem is not the messages. It is that nobody sorts them for us.

Tonight's quick fix: ask AI which ONE needs you

You can try this in 10 minutes, with no coding.

  1. Connect your email. Claude has an official Gmail connector, and ChatGPT has one on its paid plans. Turn it on in the app's settings.
  2. Ask it to read only your unread messages, for example from the last 24 hours.
  3. Ask one question: "Which ONE of these needs me today? Tell me who it is from, the subject, and why, in one line."
  4. Open that one yourself. Read it, decide, act. Leave the rest for later.

Two safety notes. First, these connectors can do more than read: some can draft or send. Ask only for reading and sorting, and do the replying yourself. Second, check what it picks for the first week. AI can miss things, so you stay in charge.

Why the quick fix is not enough

The quick fix works on one inbox, when you remember to ask. But my messages come from everywhere: email, WhatsApp, Slack, Instagram. And the AI does not know who my clients are, which meeting matters, or who in my life always goes to the top.

I wanted a fix that knows my business, my clients, my relationships and every app I get messages on. One that works without me asking.

So I built an AI Employee to check my messages: Daakiya

Daakiya is the old word for the postman. Every 15 minutes, he does a round of my messages and brings me only what matters, as a small popup on my screen.

  • A meeting coming up? He reminds me.
  • A client who is waiting? He alerts me.
  • A scam email? He flags it so I never open it.
  • Someone special writes? Straight to the top.

And that is just one of his jobs. The time I get back goes to my family, my work and the gym.

I do not write code. I built Daakiya with Claude Code, by describing the job in plain English, testing it, and keeping a person in charge. An AI Employee is exactly that: an AI with a clear job, the information it needs and safe access to a few apps, doing the job for you again and again while you check its work. If the idea is new, start with what is an AI Employee?

Can you build your own AI Employee like this?

Yes, and you do not need to code. In AI Gurukul, the 7 Day Challenge takes you from zero to your first working AI Employee, one small part a day. The first build is an AI Personal Assistant that reads your email and calendar and gives you a morning brief. After that, you build the next one for any job you want off your plate.

Questions people ask about checking messages

How many hours a year do we spend checking messages?

At around 2 hours a day, it is 730 hours a year, about 30 full days. McKinsey found in 2012 that office workers spent about 28% of their work week, around 13 hours, on email alone.

Can AI read my email and tell me what is important?

Yes. Claude has an official Gmail connector and ChatGPT has one on its paid plans. Ask it to read your unread messages and tell you which one needs you today. Check its picks yourself, especially in the first week.

Is it safe to connect my email to AI?

It can be, if you keep it to reading. Some connectors can also draft or send, so ask only for reading and sorting, and do the replying yourself. Read the connector's own help page before you turn it on.

How do I stop checking messages all day?

Stop opening every message to find the one that matters. Let AI sort them and show you only the one or two that need you, then check the rest at a set time. An AI Employee can do this on a timer, every 15 minutes, without you asking.

Who is Daakiya?

Daakiya is the AI Employee Akash Gupta built with Claude Code to check his messages. Every 15 minutes he brings Akash only what matters as a popup: meeting reminders, urgent clients, scam warnings and messages from the people who matter most.
